Event coverage in Dubai: a video and photo planning checklist

An event happens once. If a keynote, a product reveal or a VIP arrival is missed, there is no second take. This checklist covers what to decide before the day so the coverage team captures what you will actually use afterwards.

Decide what the footage is for

Start from the outputs, then work back to the crew. A two-minute highlight film, full recordings of every talk, same-day Reels and a press photo set are four different jobs. List the outputs you need and who will use them: marketing, sales, sponsors, press or internal communications.

Match the crew to the programme

The run of show decides the crew size. As a rule:

  • One videographer and one photographer can cover a small launch or reception.
  • A conference with a main stage needs at least two cameras on stage plus a roaming camera for the audience and exhibition floor.
  • Parallel sessions need a camera in each room, or a decision about which sessions matter most.
  • Same-day edits need an editor on site who does nothing else.
  • Interviews need a quiet corner, a light and a sound recordist or dedicated microphones.

The shot list that gets forgotten

Speakers on stage are the easy part. These are the shots teams most often wish they had:

  • The venue and branding before guests arrive
  • Registration, arrivals and the first full-room shot
  • Audience reactions, not only the stage
  • Each sponsor’s logo and stand, for the sponsor report
  • Product demonstrations and hands-on moments
  • Short guest and speaker soundbites
  • A clean group photo of the team and VIPs

Sound is half of the video

Viewers forgive a shaky shot long before they forgive bad audio. For talks and panels, ask the venue’s AV team for a direct feed from the sound desk, and record a backup. For interviews, use dedicated microphones away from the music and the crowd.

Venue access and permissions

Large venues in Dubai and Abu Dhabi have their own rules for crews: accreditation, loading times, where tripods and lights can go, and whether drones are allowed indoors. Send the crew list early, and confirm with the organiser who is responsible for filming permission and for guest consent notices.

Same-day and next-day delivery

If you want content posted while the event is still running, plan it. Agree the format (for example three vertical Reels and ten edited photos per day), who approves them on site, and by what time. Without a named approver in the room, same-day content usually becomes next-week content.

Common questions

How many cameras do I need for a conference?

For a single main stage, plan for two stage cameras and one roaming camera. Add a camera for every parallel room you want recorded in full, and an on-site editor if you need same-day edits.

What should I send an event videographer before the event?

The run of show, the venue floor plan, the list of must-have speakers and moments, sponsor obligations, brand guidelines, the outputs you need and the deadlines for each.

Can event photos and video be delivered on the same day?

Yes, if it is planned. It needs an editor on site, an agreed list of outputs, and someone from your team available to approve content during the event.
